ICAR abstract Submission guidelines
ABSTRACT SUBMISSION IS OPEN
 Abstracts may be submitted for "Posters Only" or for "Posters and Oral Consideration" to those ​community-organized sessions that will select from abstracts (see list below for those that will select talks from abstracts)
One free abstract submission allowed per paid registrant.
Abstract Length: Limited to 300 words (excluding: title, authors, & institutions). ​​

Updated to April 30, 2020 
Deadline to submit for oral presentation consideration.  Abstracts submitted April 1 - May 18 will be accepted for poster presentation only and will be included in the abstract book as a poster (or the abstract may also be indicted for a workshop presentation if applicable).

Notification of oral presentation selections. Selected presenters will be confirmed by email and then names/titles will be added to the conference program on this website.

GENERAL ABSTRACT SUBMISSION TOPICS

  • All abstract submitters will select one of these "General Topics" during abstract submission.
  • Posters will be organized by these General Topics. Only submitters that choose "for oral consideration" will be asked to choose one of the sessions listed to the right, in a second step.
  • Any abstract not selected for a talk will default back to the chosen General Topic for poster presentation.

 List of Talks Selected From Abstracts (to be announced May 11, 2020)

POSTER SESSIONS, SETUP, TIPS & FAQs

Tips On Preparing Your Poster for ICAR 2020: The maximum size allocated for each poster is 3 feet 6 inches (42 inches) across/wide by 4 feet high/tall (48 inches); (106 cm across/wide by 102 cm high/tall). Be sure to use a type size and font that will be easily readable. No electrical or multi-media displays. Consider including a small picture of yourself in the corner of your poster so people looking for you at the meeting may recognize you. Also consider including contact information in case someone wishes to ask you questions about your work but is unable to connect with you at the poster sessions. Some additional tips on preparing a scientific poster can be found at this Dartmouth University resource which may be helpful (Notes: ICAR maximum width= 42 inches/106 cm, which is wider that the Dartmouth. You may choose your desired width up to 42”/106 cm; (2) you need to locate your own print location) http://www.dartmouth.edu/~ugar/undergrad/posterinstructions.html

Onsite At The Conference: Photographing, videotaping, or recording of any kind IS PROHIBITED (including but not limited to camera phones and digital devices).

Poster Location: All posters will be displayed in the Husky Union Building (HUB) per the listed schedule, below. The HUB's poster area and exhibit hall will be closed and locked after the last event of the day for security reasons.  

Poster Numbers: Will be sent after May 31st to presenters who have fully registered for the conference and completed their abstract submission by the poster deadline. A printed listing of poster titles, main presenter, and the corresponding numbers will be included in your conference bag. A full listing of all the abstracts will be provided to each attendee on a USB drive. Note that your original submission number may be changed after all abstracts are grouped into session topics.

Poster Setup for Sessions
Posters in Poster Session 1 will be presented on Tuesday July 7: 
Poster setup begins at: TIME To BE CONFIRMED in the HUB's South Ballroom (2nd floor) and overflow rooms as needed (to be confirmed). All Group 1 posters must be taken down by the end of Poster Session 1 (9 pm, Tuesday).

Posters in Poster Session2 will be presented on Wednesday July 8: Poster setup begins at: TIME To BE CONFIRMED in the HUB's South Ballroom (2nd floor) and overflow rooms as needed (to be confirmed).

ALL: Put your poster on the half side of the board where your final poster number is located in the corresponding session category. Poster pins will be provided. Each side can hold two posters. No electrical or multi-media displays. Do not move the boards or your poster number. If you did not submit your abstract for poster online before the closing of the online site, place your poster in the un-numbered category. Un-numbered spots are on a first-come-first-served basis.

Poster Attendance: Your original abstract submission will be renumbered to group them by session. Your assigned Session and Poster number lets you know when you are expected to be at your poster based on the schedule below. Please attend your poster during the times listed for your poster session (either Session 1, Tuesday, or Session 2, Wednesday).

Tuesday, July 7
Poster Session I: Set-up time to be confirmed
5:00-9:00 pm: Poster Session 1 Posters and Exhibits open, refreshments served
7:00 pm – 8:00 pm: Exclusive Poster Session #1 posters presented

8:00 pm - 9:00 pm: Free for all browsing of posters, and visiting booths
9:00-9:30 pm: All Poster Session 1 Posters must be removed. If not removed they may be discarded by janitorial staff.
9:30 pm – Doors Close

Wednesday, July 8
Poster Session 2: Set-up time to be confirmed
5:00-9:00 pm: Poster Session 2 Posters and Exhibits open, refreshments served
7:00 pm – 8:00 pm: Exclusive Poster Session #2 posters presented

8:00 pm - 9:00 pm: Free for all browsing of posters, and visiting booths

Thursday, July 9 - STUDENT SPOTLIGHT poster session- all students are invited to set up their poster again and enjoy the spotlight with exclusive interactions with attendees.
12:30 pm – 8:30 pm: Posters Open
5:00-8:30 pm: STUDENT SPOTLIGHT Poster Session and Exhibit Booth Browsing, refreshments served
8:30 pm – 9:00 pm: Final Poster Removal. All posters must be removed by 9:00 pm.

9:00 pm – Doors Close

Poster Removal: All Posters Must Be Removed By 9:00 pm Thursday, July 9, 2020.
Posters Not Removed Will Be Discarded.
